How to Work With a Bookkeeper Remotely

Set up systems, access controls, and workflows to manage your books with a remote bookkeeper efficiently and securely.

  1. Set up cloud-based accounting software with proper access levels. Choose QuickBooks Online, Xero, or similar cloud platforms that allow role-based permissions. Grant your bookkeeper 'Standard User' access — they can enter transactions and run reports but cannot delete data or change company settings. Never share admin credentials.
  2. Connect bank accounts and credit cards for automatic data feeds. Link all business accounts directly to your accounting software using bank feeds. This eliminates manual data entry and reduces errors. Your bookkeeper categorizes and reconciles imported transactions rather than typing them from statements.
  3. Establish document sharing protocols for receipts and invoices. Use a shared folder system (Google Drive, Dropbox Business) with standardized naming conventions. Create monthly folders labeled 'YYYY-MM' and require photos or PDFs of all receipts within 48 hours of purchase. Grant your bookkeeper view-only access to avoid accidental deletions.
  4. Define monthly deliverables and deadlines. Require profit & loss statements, balance sheets, and bank reconciliations by the 15th of each month. Set a cutoff date — typically the 5th — for submitting prior month expenses. Late submissions get processed in the current month to maintain schedule discipline.
  5. Create verification checkpoints for accuracy. Review bank reconciliations monthly — cash balances in your accounting software must match actual bank balances. Spot-check 5-10 expense categorizations each month against receipts. Flag discrepancies immediately rather than waiting for quarterly reviews.
  6. Build backup access and transition procedures. Maintain a master list of all software logins, bank connections, and vendor accounts your bookkeeper accesses. Document their categorization methods and month-end procedures. This protects you if the relationship ends or emergency coverage is needed.
